General

Client and staff information is stored digitally through secure cloud-based services such as Podio, which is used for intake, service management, and staff information. Paper information is either destroyed or given to our clients in certain cases for their own personal records. Any files kept on offices premises (e.g. sponsorship forms) are kept in secure locations.

Website Privacy

Any personal information given on this website (e.g through our Contact form, or Refugee Sponsorship form) is used only for the specific purpose it is given for. We make every attempt to secure your personal information from unauthorized access, use or disclosure. We do not sell or share it with outside parties in any way. We do not keep or use your personal information for any promotional announcements or news.

IFSSA uses cookies to learn how visitors engage with our website. This helps us analyze data about webpage traffic and improve our website in order to tailor it to community needs. This data includes time spent on each page, visit length per page, time spent on the website, IP and network address, type of browsers and operating systems. Personal information such as names, email addresses, and billing information is not collected through these Cookies.

Donations

Any payment and personal information you give through this website is secured by a reputable third party vendor (AplosĀ®). In the event of any known data breach, we will contact you right away. We do not have access to nor collect any personal financial information (e.g. Credit Card details).

Confidentiality

The Code of Conduct, which staff, board, and volunteer members are required to sign includes our ethics and practices regarding confidentiality and its vital importance to our organization. The responsibilities we affirm include:

  1. All staff and volunteers must sign a code of conduct & confidentiality form before working in any capacity within the agency.
  2. All client information (written, verbally disclosed, or other form) is to be kept in strict confidence by any board members, staff members and volunteers. This includes client files that are to be kept in the office at all times.
  3. Staff, volunteers, and board agree to exercise due care to ensure that any information that they may give to others in the course of their work with the organization will be given only to persons they believe are entitled to receive such information. They are mandated to immediately report to IFSSA staff if I believe a child or youth is being abused or neglected, or if abuse or neglect is disclosed.
  4. We acknowledge and confirm that as a volunteer, staff or board members, we may acquire information on the organization, its clients, staff and volunteers and about certain matters and things which are of a confidential nature, and that such information is the exclusive property of the organization and will remain in the strictest confidence.
  5. Staff, volunteers, and Board members affirm that the information referred to above could be used to the detriment of the organization and/or client and will thereby to treat all information, contracts or resources as confidential. We agree not to disclose the same to any third party (including media) either during the term we are working or volunteering for the organization or at any time thereafter unless required to do so by law
